Running a family office day to day comes down to a handful of operational questions: what software you use to track everything, and whether you need a full standalone office at all.

What family office software actually does
The operational layer of a family office typically covers portfolio consolidation across custodians and asset classes, performance and expense reporting, document and entity management, and coordination between the accountants, attorneys, and investment managers a family works with. For families holding digital assets alongside traditional holdings, that reporting layer has to reconcile very different types of accounts: brokerage statements, custodial wallet reports, and on-chain positions that don’t come with a monthly PDF the way a bank account does.
Single-family office vs. multi-family office vs. virtual
A single-family office is built and staffed for one family, which gives full control but comes with real overhead: salaries, office space, and enough scale to justify it, usually starting in the tens of millions of investable assets. A multi-family office spreads that overhead across several families, trading some customization for lower cost. A virtual family office is a third path: instead of hiring a full internal team, you assemble a coordinated group of outside professionals, an investment manager here, a tax specialist there, a trust attorney on retainer, tied together by shared software and clear reporting rather than a shared office.
Why the virtual model fits a lot of families
The advantage of going virtual is flexibility without the fixed cost of a full office. You get to choose the best specialist for each function instead of hoping one in-house generalist covers everything, and you can scale the team up or down as your needs and asset base change. For families whose wealth includes digital assets, that flexibility matters more than it would for a purely traditional portfolio, since the specialists you need, crypto tax preparers, digital asset custody experts, blockchain-aware estate attorneys, are still a smaller, more specialized pool than traditional wealth management professionals.
Whichever structure fits, the software and the people need to work together. A great virtual team with no consolidated reporting is just as frustrating as an expensive office with the wrong specialists in the room.
